Our client is seeking a highly organized and proactive Business Operations & Marketing Assistant to support day-to-day administrative, marketing, and operational functions. This role is ideal for someone who excels in remote work, manages multiple workflows efficiently, and brings strong communication, bookkeeping, and digital marketing capabilities. You will play a key role in supporting financial tracking, client pipeline management, content creation, and digital brand presence while working directly with leadership to keep operations running smoothly.

Job Description

The Business Operations & Marketing Assistant will be responsible for coordinating administrative tasks, supporting bookkeeping functions, managing leads and CRM updates, and executing basic marketing activities. This position requires strong organization, exceptional communication skills, and the ability to work independently in a flexible, remote environment.

Key Responsibilities

Bookkeeping & Finance Support

● Reconcile bank and credit accounts (4 accounts)
● Track expenses and organize receipts
● Update and maintain monthly cashflow dashboards
● Coordinate with tax advisors and prepare documentation as needed
● Manage financial records using Wave, QuickBooks, or similar tools

Lead & Relationship Management

● Maintain CRM systems (Notion, Airtable, or Google Sheets)
● Track leads, pipelines, and ongoing client conversations
● Follow up with prospects, sponsors, partners, and investors
● Support relationship-building communication

Marketing & Communications

● Create marketing collateral (Canva), flyers, one-pagers, and pitch decks
● Schedule and manage social media posts
● Draft basic copy for content and messaging
● Support brand storytelling across platforms

Administration & Operations

● Manage email triage and prioritize communications
● Schedule meetings and coordinate calendars
● Organize files, documents, and relevant materials
● Track deadlines, action items, and weekly priorities

Brand & Online Presence

● Assist with website updates and landing pages (e.g., Linktree)
● Manage social media engagement (comments, replies, DMs)
● Support community engagement and online brand visibility

Qualifications

● Strong written and verbal communication skills (English required)
● Experience working remotely with minimal supervision
● Familiarity with bookkeeping tools (Wave, QuickBooks, or Xero)
● Canva proficiency and basic graphic design skills
● Experience managing social media scheduling and engagement
● CRM experience (HubSpot, Airtable, Notion, or equivalents)
● Highly reliable, organized, and detail-oriented
● Ability to multitask and manage shifting priorities
● Understanding of real estate or property development
● Experience with nonprofit or fundraising support
● Familiarity with sponsorship outreach or corporate partnership management
